If you're searching for water cooler service and maintenance, something is probably already off — slower flow, a chalky or metallic taste, a crust of minerals around the spout, or a cooler that stopped getting properly hot or cold. In Southwest Florida that wear shows up faster than it does in soft-water parts of the country, because our tap water runs hard — a side effect of the limestone aquifer the region draws from. Aroma Coffee Service keeps office water coolers clean, descaled, and on a regular maintenance schedule, handled by our own in-house technicians across Sarasota, Bradenton, Tampa, St. Petersburg, Fort Myers, Naples, and Port Charlotte. No surprise repair bills.

What water cooler service and maintenance actually covers

A water cooler isn't a "set it and forget it" appliance — especially not here. Real maintenance is three jobs done on a schedule instead of after a breakdown:

Sanitizing

The cold tank, hot tank, internal lines, and dispense nozzles are where buildup and biofilm collect. We clean and sanitize that whole water-contact path so what comes out of the spout tastes clean and stays clean.

Filter changes

Bottleless, plumbed-in coolers run on filters — sediment, carbon, and on some systems a reverse-osmosis membrane. A spent filter quietly stops protecting against scale and off-tastes, so we handle filter replacement on a schedule sized to how much water your office actually uses.

Descaling

This is the Florida one. We pull the mineral scale off tanks, waterways, and the heating element so flow, temperature, and the life of the equipment all hold up.

Why Florida's hard water is the real problem

Much of Southwest Florida's drinking water is pumped from the Floridan Aquifer — a limestone formation. Limestone is calcium carbonate, and it dissolves into the water as hardness, which is why so much of our region's tap water tests "hard" to "very hard." Every time a cooler heats or chills that water, it leaves more mineral scale behind.

The hot tank takes the worst of it: scale coats the heating element, insulates it, and forces it to work harder — which is how an otherwise healthy cooler ends up dispensing lukewarm water or failing early. Left alone, a cooler here can scale up in months, not years.

What a properly maintained cooler gives your office

  • Water that tastes right — no chalky or metallic aftertaste from neglected filters or scaled lines.
  • Reliable hot and cold — no lukewarm "cold" water, no hot side that can't keep up at the morning rush.
  • Equipment that lasts — descaling and clean filters protect the cooler from the inside out.
  • Zero DIY for your team — nobody on staff ordering filters, scrubbing a reservoir, or chasing a repair tech.
  • One vendor for the whole breakroom — water on the same relationship as your coffee, snacks, paper, and janitorial.

Frequently asked questions

How often should an office water cooler be serviced?

Most offices need sanitizing a few times a year, plus filter changes set by how much water they go through. In Southwest Florida we usually service more often than a manufacturer's baseline, because hard-water scale builds up faster here. We set the interval to your cooler and your local water, so you're not guessing.

Does Florida's hard water really damage water coolers?

Yes. Much of Southwest Florida's tap water comes from the limestone Floridan Aquifer, which makes it hard. Every heating and cooling cycle leaves mineral scale behind that slows flow, hurts taste, and makes hot tanks fail sooner. Routine descaling is the fix.

Do you service bottleless (plumbed-in) coolers as well as bottled ones?

We service both. Bottleless, point-of-use coolers need filter changes plus sanitizing; bottled coolers still need the reservoir, lines, and spout sanitized. Either way, our in-house techs handle it.

Will I get surprise repair bills?

No. On equipment we install, service and maintenance are included at no upfront equipment cost — no separate repair invoices when something needs attention. If we're servicing a cooler you already own, we'll tell you what it needs before any work.

How fast can you get a technician out if our cooler goes down?

Our typical local response is about 24 hours, because the people who service your cooler are our own Southwest Florida technicians — not a national call center. A real person answers and routes the call to your nearest branch.
