Benefits of Using an Office Coffee Service Company

When it comes to providing office coffee, there are a lot of choices out there, including going to the store and buying your coffee and supplies. But when it comes to offering coffee and other hot beverages to your employees, one option stands out above the rest: using an office coffee service company.

There are a lot of benefits to using an office coffee service company, including the following:

  1. Freshness: Office coffee service companies source freshly roasted coffee and provide high-quality whole bean or ground coffee, so you can always be sure you’re getting a great cup of coffee. Quality is an important consideration if you want to provide good coffee for your employees.
  2. Convenience: An office coffee service company will regularly deliver coffee and supplies to your door, so you don’t have to worry about going out and picking it up yourself.
  3. Variety: Office coffee service companies offer a wide variety of coffees, so you can find one that’s perfect for your employee’s taste.
  4. Save money: When you use an office coffee service company, you can save money on your beverage and supply costs because you’re buying in bulk.
  5. Support local businesses: You’re supporting a local business when you use an office coffee service company. This is good for the economy and good for the community!
There are many other benefits to using an office coffee service company, but these are just a few of the most important. If you’re thinking about using an office coffee service company, consider Aroma Coffee Service, the best office coffee service company in Florida!

How Much Does Office Coffee Services Cost?

The average cost of office coffee services will vary depending on the size of the business and the number of employees. For a small business with 20 employees, the average yearly cost would be around $100 per employee. This includes the cost of the coffee, filters, and other supplies. You also need to consider the cost of either renting a coffee machine or purchasing one. Renting drip machines or single-cup coffee makers can cost around $35-50 per month.

The price of office coffee services can vary depending on the quality of the coffee and whether or not it is organic. However, most companies believe that the benefits of having a consistent supply of coffee outweigh the cost.

Is Office Coffee Tax Deductible?

Giving employees coffee or tea can be a business perk. Not only does this help to keep morale high, but it can also be a tax-deductible expense. To qualify for the deduction, the coffee, coffee machine, and supplies must be considered necessary in the workplace. It must be provided for all employees, not just a select few.

Additionally, the cost of the coffee must be reasonable. For example, gourmet coffees or exotic teas that are expensive would not be considered necessary and may not be deductible. However, your basic flavors of coffee from a local delivery service would likely fall within the deduction guidelines. Talk to your accountant or financial advisor to ensure that you take advantage of all available deductions.

How to Make Coffee at the Office

For many of us, drinking coffee first thing in the morning helps us wake up and face the day ahead. Even that freshly brewed smell helps to create a positive office environment. But making coffee can be a time-consuming process, particularly if you have to do it for many people. How much coffee should you make?

This is where office coffee machines come in. Making coffee at the office for employees can save everyone time and hassle. Not only that, but you can also ensure that everyone gets their fix of caffeine. Office coffee machines come in a range of different styles and sizes, so you can find one that suits your needs. From a simple drip coffee maker to more sophisticated espresso machines, there is sure to be an ideal option for your office. Making coffee at the office for employees is a great way to boost morale and show your team that you care about their well-being.

Aroma Coffee Service offers office coffee machines that you can rent for a small monthly fee.

What Supplies Will I Need For My Office Coffee?

By investing in quality coffee service, businesses can take the hassle out of keeping the office supplied with coffee and the right supplies and equipment. Good coffee services will deliver creamer, sugar, stirrers, a coffee maker, and perhaps some mugs or cups.

A small office may get by with a single coffee machine that provides one pot per day, while a larger office might need two or three coffee makers. Similarly, some employees may take their coffee black, while others prefer it with cream and sugar. By keeping these factors in mind, you can ensure that your office has the supplies to keep everyone happy and caffeinated.

Should I Provide Additional Options Besides Coffee?

While coffee is undeniably the most popular morning beverage, there are many benefits to offering other options, such as tea. Tea, for instance, contains less caffeine than coffee and is rich in antioxidants. This makes it a great choice for those looking for a less stimulating drink.

Tea comes in a wide variety of flavors, so there is sure to be a flavor that everyone will enjoy. And for those concerned about the environmental impact of their choices, it’s worth noting that tea is generally considered more sustainable than coffee. As the world wakes up to the importance of sustainability, offering tea as an alternative to coffee is a small but significant way to make a difference.

Check out our list of teas and see what we can offer your employees.

2. Variety

With so many different coffee delivery services to choose from, you can find the perfect one for your taste buds.

Cold Brew Coffee

Cold brew coffee is becoming extremely popular and is in high demand, especially during the hottest months of the year. It’s an excellent choice for those who love coffee but don’t enjoy their cup steaming hot. Making cold brew coffee at home on the weekends can be fun if you have the time. Here’s how to make your new favorite cold brew.

Grind your coffee beans coarsely and combine with water. Let the coffee steep overnight to allow the coffee to infuse with the water creating a rich, concentrated cold brew. Strain your coffee the next day, and you are ready to go! You can also use a french press to make a perfect cold brew coffee.

When you use a coffee delivery service your cold brew coffee will already be made and ready to go. No steps are required. Just grab your favorite coffee cup and enjoy!

Original Drip Coffee Grounds

When most of us think about coffee, we picture drip filter coffee. This type of coffee is still prevalent, especially in an office setting, for its ease and convince to make. Drip coffee usually comes with coffee grounds rather than whole beans, and the grounds are a more sandy texture. A delivery service can offer a variety of quality coffees for your drip coffee system.

Single Origin Coffee

Single-origin coffees are becoming more popular as customers are more interested in where their products come from. When we say single-origin, it’s a simple term meaning your coffee beans were made from a single source or producer. You can also trace the maker of your coffee beans to either one source or one farm. There is transparency in the maker of your coffee, and you know what farm or country your coffee was made.

Light, Medium, and Darker Roasts

All coffees come in a variety of roast types ranging from light to dark. What type is best for you? An excellent customer service representative will help you sort through the combinations and choose the best ones for you.

Iced Coffee

Iced coffee is different than cold brew coffee. The main difference being iced coffee is brewed hot and then chilled and served over ice. Cold brew coffee is as the name implies, it is brewed cold.

With delivery service, you will have a whole new coffee experience. There is a flavor for everyone on your team. Whether you prefer hot coffee or cold brew coffee, your mornings will always include a quality cup of coffee.

3. Quality

Most coffee delivery services use high-quality beans and roast them fresh daily. They will provide an extensive knowledge base on the types of coffees and equipment needed to brew your favorite. A good coffee service company will provide you with plenty of quality options and types, such as a brewing system, single serves, or multi-serving systems.

4. Cost-Effective and Customer Support Team

Buying coffee in bulk can often be cheaper than buying it from a coffee shop. If you’re in an office setting, you and your employees can easily spend $5-8 a day on a cup of coffee at your local barista. By choosing a coffee service, you can save you and your employee’s money on their daily coffee run by offering a variety at your office.

5. Builds a Positive Environment

Offering your employees a simple gesture such as free coffee in your break room can improve morale. When you centrally locate where employees can grab a cup, it offers employees a chance to mingle and discuss business topics or get to know one another. When your employees are more social, it improves their cohesiveness and ability to work together. A simple free cup of coffee could create a great office vibe!

employee coffee consumption

Do you know how many cups of coffee your employees drink each day? Do you know how much your company is spending per month on coffee supply purchases? These are questions that business owners often ask themselves. If the answer to either of these questions is no, then it’s time to start keeping track of your employee coffee consumption at work so you can adequately budget for your employees’ needs.

Here we will discuss some strategies for figuring out how many workers are drinking coffee in the workplace so you, as a business owner, can make more informed decisions on what to do with your office coffee budget.

Consider the Number of Workers in Your Office

The amount of coffee your office uses will vary based on the number of employees you have and how many of those employees are coffee drinkers. So, it’s essential to figure out how many office workers you have before taking any steps towards tracking how many cups of coffee are consumed.

It’s important to remember that you may have employees who don’t drink coffee or take coffee breaks within this number. So, having the total number of employees doesn’t mean they will all account for the number of coffee-drinking employees in the office. It is essential to determine this number anyway to give yourself a place to start.

Figuring Out How Many Coffee Drinkers Are In Your Workplace

The size of a coffee cup can vary depending on whether employees are given the same size cup or bring their own. So, depending on what type of machine you use, the amount each coffee drinker consumes may vary. If you use a standard coffee brewer, the coffee pot is usually about 12 cups or 84 ounces. If you go through two full pitchers a day, you have 168 ounces a day of coffee consumed. If you use a single cup machine, you will need to count each pod or k-cup used throughout the day.

You can calculate how much coffee employees are drinking each day by using the following equation:

Coffee Consumption = (Number of Employees) x (Servings per Day)

It’s important to remember that coffee consumption can be determined per day and per month by multiplying the appropriate numbers.

Computing how many employees consume caffeine in the office is not hard to track once you understand what needs to be plugged into the above equation. If your business has never tracked coffee consumption before, then now is a good time for it.

Calculate Peak Days That Employees Drink Coffee

When you’re trying to figure how much coffee your workplace coffee drinkers consume, it’s important to figure out what days workers drink coffee the most. Most likely, this is every day, but some days they may drink more than others and take more than one coffee break. You may find that a coffee drinker may consume the most coffee earlier in the week and earlier in the morning. This is typical of most offices. You can easily calculate how many are consuming caffeine, how much, and which days by a simple anonymous questionnaire

Send Out a Survey to Find Out How Many Employees Are Drinking Coffee

It’s easy to send out an anonymous survey to your employees and see who is drinking coffee. Those who answered they do consume coffee at work, and not just the local coffee shops’ coffee, can then include how much coffee they typically drink during their coffee break.

Figuring Coffee Consumption For A Month

How much coffee drinking occurs monthly? This is easy to figure if you can figure the average daily amount first. Check to see how much coffee is drank each day for a week. Then, to figure out workplace coffee drank per month, multiply the number of days worked in a week by the average daily cup of coffee consumed. Add the totals up and divide by however many days you tracked.

So, let’s ask the business question. How many workers drink coffee in your workplace? Why do we need to know this? Keep reading to find out!

Why is figuring out employee coffee consumption important?

So, you know you have employees that drink coffee at work. Why does it matter? Knowing the number of coffee drinkers you have in your office is important for business owners so you know how much office coffee is needed on hand for employees and/or customers so you can anticipate future needs. It also helps business managers understand how much the company spends on coffee at work each month and can help with making budget decisions. If you’re spending a lot on coffee in the workplace, it may be time to find a great coffee service company to work with.

It’s not just about budgeting how much coffee your office needs. Knowing how much coffee is consumed in your office can also answer some other questions. How many coffee breaks do employees take? Is coffee drinking creating employee collaboration and morale? Does caffeine consumption result in a productivity boost? Are employees tired and get the midday slump so they feel they need a daily cup or two of coffee for an energy boost?

Offering Coffee to Your Office Employees Increases Morale

Offering coffee at work to employees can increase office morale. It’s a nice gesture and shows them you care about them. If coffee is offered, make sure there are enough cups and coffee for each employee who wants one.

Coffee brings people together and can improve social interaction between employees. A cup of coffee can go a long way in improving company culture and group performance.

If you’re a business owner, it’s important to know how much coffee and how many employees drink coffee at work on average. This will help ensure that there are enough supplies for everyone and allow you to budget ahead accordingly. You can also save money by choosing the right company that provides coffee services like Aroma Coffee Service! We work with our clients to find out what kind of beans they want, including specialty coffee brews, which brewing methods they prefer (drip vs. french press), and other preferences so we can provide them with the best experience possible. Contact us today if you would like more information about our service or need assistance selecting your next brand of brews.

The coffee machine is a staple in the American workplace. Employees start their day with a cup of joe and sometimes even end the workday by grabbing another fresh cup. It’s nice to be able to serve coffee to customers when making deals or discussing business arrangements.

What if you could offer this convenience? But what do you need to think about before contracting with a coffee servicing company? Here are some office coffee service pros and cons!

The Pros of Office Coffee Services

Improve Productivity and Reduce Wasted Time in the Workplace

There’s nothing quite like the smell of freshly brewed coffee at the office in the morning to wake your mind up. But did you know that when caffeine is released into your system it helps you stay focused, and makes tasks seem less tedious? And if you’re in an office with a team break room, the coffee machine is right there serving fresh coffee for every employee. Employees may take fewer breaks throughout the day because it is easier to caffeinate when working from their desk rather than going through lengthy lines at a local café or convenience store to grab a cup. The cost savings employees will benefit from related to fewer trips to the coffee shop will boost morale, too.

Higher Quality Drinks

office coffee machine office coffee service aroma coffee floridaThe coffee machines that coffee service companies use are often top of the line and produce a high-quality brew. Also, If your business has more upscale clients, it can be beneficial to use an office coffee service company to provide a free cup of coffee. Offering quality coffee choices to your employees and customers increases company morale (and your reputation!), and generally sets a higher standard for the workplace.

Coffee service businesses can provide a variety of products and machines—single-serve coffee makers, traditional coffee makers, espresso machines, bean to cup coffee makers, and even tea brewers! Employees will enjoy the multitude of fresh options to consume throughout the day.

Consistency

One thing that many people don’t think about when they drink coffee from a local barista is how inconsistent it can be from day to day. You might have your favorite blend one day and then the next it will taste bland or watery, or there’s a layer of coffee grinds at the bottom of your cup. With a professional coffee service, you know exactly what to expect each time by using the same coffee maker and same coffee blend.

Utilizing an office coffee delivery service is a great way to ensure morning coffee rituals never go undone. Whether you prefer the sweet, nutty flavor of dark roasted bean blends, the traditional basic coffee blend, or if need something with more caffeine in it—like espresso for those mornings when sleep eludes you and obligations beckon—they will satisfy even the most discerning tastes!

Convenience and Professional Support

Coffee service companies allow for the benefits of having a personal barista without all the hassle of handling equipment and supplies. Set up a delivery schedule, purchase everything with one order online, and get it delivered so there’s no driving around looking for parking or standing in line for coffee again!

Coffee machines need maintenance just like any other piece of equipment and if they are not properly serviced, you risk the quality of your coffee going downhill. With an office coffee service company, there’s no need to worry about scheduling maintenance on your coffee machines or purchasing parts. It’s all taken care of for you.

Professional coffee services have the experience that you need to make sure your coffee order is perfect. They have knowledge of different types of coffees and can recommend something for every taste, whether it’s a full-bodied blend or light herbal tea. Professional coffee services will know what everyone wants!

The Cons of Office Coffee Service

Higher Expense

There is an investment that comes with utilizing office coffee services, not only in terms of upfront cost, but ongoing monthly expenses as well. If you are considering this option, speak to your accountant to see if this service would be worth the initial expense rather than taking on other costs such as ordering paper cups or investing in another expensive piece of equipment like traditional espresso or coffee machines.

In addition, some companies charge per-cup rates which add up over time. You should also factor in how much space will be needed by the company servicing your needs. This could mean moving furniture or redesigning layouts so everything can fit within the workspace.

Environmental Impact

Coffee cups that professional machines use may not be recyclable like the ones used by customers who go out to a local shop and buy a cup of coffee. Also, some single-serve machines produce waste with the cups that are used which can also cost you more by purchasing a large amount of single-serve cups if your office has many employees. This leads to a large amount of wasted paper and plastic cups that contributes to the ever-growing problem of waste in landfills. Of course, there’s always the option to switch back over to using regular ceramic mugs instead, which takes away this issue entirely.

Limited Variety

If your company has employees who are constantly switching up the types of coffee they drink, it might be better not to use an office coffee service where they will only have a limited brew available at all times.

Remember, not everyone enjoys a regular hot cup of coffee. Some enjoy different roasts or blends, iced coffees or lattes, and some may not like coffee at all, but prefer to drink tea. Not all coffee service companies can provide a wide variety of flavors or options to provide to your customers and employees at break time.

Loss of Control

If there are any unwanted changes to the office coffee service you are using, you may not have many options. You’ve already signed up and committed to the service for however long your contract lasts, which could be a year or more. When it comes to making business decisions, having control is important not only to your reputation but to your budget as well.

Conclusion

Outsourcing your company’s coffee needs is a convenient service that can save you time and potentially also save you money. It opens up opportunities for employees to focus on closing deals, developing new products, or providing great customer service. But with any service that you outsource, there are potential downsides, too. You may miss out on that personal touch from your favorite barista. Consider both sides of the story to make the best decision for your business.

If outsourcing this service sounds like a great way to improve your company’s efficiency and morale, connect with us for more information on product and service options. We have three locations in Florida and would be happy to serve your company’s needs!

If you are a K-Cup user and haven’t tried Pods, you should strongly consider trying them. Pods have several advantages over K-Cups:

– Pods are more Eco-Friendly
Pods are 100% biodegradable and compostible where K-Cups end up in our land fills, further polluting our environment.

– Pods are less expensive per cup
Pods typically cost around 55 cents per cup, which is typically over 10 cents less expensive per cup than K-Cups

– Pods taste better
Pods pack more grams of coffee per cup than K-Cups resulting in a more robust and flavorful cup of coffee or tea.

– Pods can reduce theft in your office
Pods are not available in home units, like K-Cups are. Therefore there is no reason for an employee or customer to take them home to use in their home brewer.

For most of us, having our coffee exactly how we like it is crucial in determining how the rest of our day is going to be. We must have the right amount of creamers, sugar, honey, and whatever flavor pump our little heart’s desire. Most of us as coffee drinkers that love our sugary add-ins, couldn’t imagine what it would be like to drink, dare I say it, black coffee. However, as we age, our taste buds are constantly changing. While black coffee may not be a favorite amongst many, several health benefits may make us consider moving to the dark side.

  1. Helps boost memory

As we age, we are all at risk of Alzheimer’s disease and dementia. Black coffee assists in keeping your brain active and strengthens your brain’s functions.

  1. Improves cardiovascular health

By drinking a few cups of black coffee a day can help decrease the risk of cardiovascular health including cardiovascular diseases and strokes.

  1. Boosts metabolism by 11%

If you are currently taking weight loss supplements, most of the supplements contain caffeine that assists in boosting your metabolism and tricking your tummy to tell you that it’s not hungry

  1. Gives you important nutrients

Caffeine has one of the largest sources of antioxidants that include vitamins B2, B3, B5, Magnesium, Manganese, and Potassium.

  1. Reduces the risk of cancer

According to the American Cancer Society, certain compounds that are found in coffee have been found to lower the risks of getting certain types of cancer.

  1. Makes you happier 🙂

Not only is coffee delicious, but it’s also quite addicting! The caffeine that is in our daily cup or in most cases, cups, increases dopamine in the brain. Dopamine is referred to as a “pleasure chemical”. So, no wonder after we get our coffee fix we are pleased.
